Here below, you will find a brief description of the adminsitrative functions within TNT Airways.
Please be aware that this represents a short outline of the different functions within TNT Airways in order to give a general idea of our numerous activity areas.
General Administration
The administrative sector is taking care of the adminstrative tasks related to the different departments of the company.
Receptionist
Motivated and willing to work in a mutlicultural environment, the receptionist follows TNT divisional policy by ensuring that all visitors and telephone queries are greeted and handled in a professional, efficient and timely manner so that a positive image of TNT is portrayed. With excellent secretarial skills and fluent in English, he/she demonstrates both interpersonal and organisational skills.
Employee - Personal Assistant (Executive Secretary)
Assertive, tactful and good organiser, the executive secretary provides efficient administrative and comprehensive business support to the Managing Director through the processing of correspondance, information, preparation of reports, coordination of the diary, organisation of meetings and assistance to other departments. Fluent in English, he/she is also able to organise his/her own work and other related offices issues.
Import - Export (Customs / Transp / Admin Officer)
The Customs Officer ensures that documentation of aircraft spares consignements is correctly reported and filed in a timely manner. Besides, he/she maintains adequately all records associated with the control and administration of customs movements. Graduated in foreign commerce (or equivalent experience), he/she has proven knowledge both of local customs regulations and IATA rules. He/she is fluent in French and English.
Finances
The finance department is in charge of supplying the reporting to the group (costs vs. budget) and the necessary information to the shareholders. It controls the market reports assets/liabilities to eventually take corrective actions and it prepares and revises budgets.
Financial Analyst
The Financial Analyst gives full support to the Finance Controller (FC) in preparing reliable and comprehensive information for the Management. He/she assists as well the FC in the compliance to SOx requirements. Assertive, flexible and stress-resistant, he/she owns a university degree in Business Administration and has an experience in financial reporting.
Compensation and benefits
This department is dealing with payment of salaries and premiums. It is also in charge of the management and the updating of several databases (holidays, medical certificates, timekeeping).
The Human Resources Department
The Human Resources Department is structured on 4 main themes.
Concerning the recruitment, the HR department is in charge of the estimation of the company needs, the writing of job descriptions as well as contracts, the posting of the vacancies and of course, the selection process.
For the equipping process, the department gives to the new hired staff member all the necessary means for the carrying out of his/her new tasks/responsibilities.
The HR department applies the Investor in People (IiP), an international norm regarding people management and improvement of HR processes. We also specially take care of the development of our collaborators
At last, the development of the motivation is important to encourage the employees by recognising and awarding for the job work performed.
Human Resources Assistant
The task of the HR Assistant is to provide administrative services and support to the HR department in order to ease HR processes through reducing the administrative workload of HR advisors. He/she treats daily correspondence in order to guarantee an efficient communication within HR department and allows timely actions. Both autonomous and well-organized, he/she is graduated in a secretarial related area and is bi-lingual French & English.
Communication
The position of the Communication Officer consists in improving both internal and external communication processes, by the implementation and supervision of projects designed to strengthen employee relations. He/she takes care of public relations initiatives with the aim of enhance BU Networks role in society, operational performance and service excellence. Dynamic, extremely flexible and familiar with EFQM principles, he/she has a perfect command of English and French.
Health & Safety – Security
Health & Safety Advisor
The function of H&S Advisor is to implement and monitor a professional and comprehensive Health & Safety service to European Air and Road Networks thereby reducing the number of accidents and creating a safe and secure work environment for staff. Background in aviation or commercial road transport is an asset.
Security Manager
With an extensive experience in aviation security operations, the Security Manager develops, enforces and manages the company’s Aviation Security Program and Procedures in compliance with all applicable policies and requirements applicable to TNT Airways. Fluent in English with a good command of French, he/she has a basic knowledge of ICAO’s Technical Instructions for the safe transport of Dangerous Goods.
The Commercial Department
The aim of the commercial department is to sell charters to the market and use a/c from the TNT Fleet. Doing that, the utilisation of the TNT fleet will increase thus lowering the hourly cost for all the flights.
A second responsibility for the commercial department is to sell Ground Handling services in Liege to other airlines, Pax as well as cargo airlines/flights.
Sales assistant
Able to work under pressure and to deadlines, the Sales assistant provides a support to the management and development of sales activities such as ad hoc air charter business, third party handling as well as administrative duties linked to it. Moreover, he/she assists in maximising consistent revenue growth and contributes to the delivering of quality in line with the corporate business plan. Excellent communicator and experienced, he/she knows Air transport regulations.
ICT – Information Communication Technology
The ICT department plans, organises and coordinates TNT Airways systems development projects and/or contributes to BU Network development projects.
It ensures a good quality of service and an efficient use of the systems.
Moreover, keeping in touch with the technology market, it delivers new and enhanced functionality as well as ensures business continuity.
Analyst Developer
As part of the ICT team, the Analyst Developer expands and improves the TNT Airways Intranet/Internet web based applications in order to ensure the maximum availability and reliability of the infrastructure. Besides, he/she increases the sharing of information based on internal systems and improves efficiency to achieve better result. Graduated in “computer sciences”, he/she has a strong knowledge of HTML design and JavaScript. Fluently in English and French is a must.
